Office reinstatement checklist for your Singapore handover

Before asking for a price, agree what has to stay, what has to go and when the landlord needs the unit back. Use this checklist to organise the information for an office reinstatement quotation.

1. Start with the handover requirements

Gather the lease reinstatement clause, the landlord's handover checklist, the original layout and any approved fit-out drawings you have. Ask the landlord or building manager to clarify items that are unclear before agreeing the work list. A previous tenant's quotation may cover a different condition, even in the same building.

Make a written list of the required condition for walls, ceilings, flooring and installed services. Do not assume that every unit needs the same strip-out or that every existing item must be removed. The quotation should reflect the requirements for your own premises.

2. Separate removal, restoration and retained items

Walk through the office and photograph each area. Identify partitions, meeting rooms, built-in cabinets, loose desks, signage and floor finishes. For each item, record whether it should be removed, restored or retained, then confirm that list against the handover requirements.

Keep loose furniture separate from fixtures. Dismantling a cabinet, carrying furniture out and disposing of renovation debris are different parts of the job. Ask whether each is included, together with making good the surfaces left behind. Check ceilings, lights and other tenant-installed services with the contractor before finalising the scope.

3. Record access rules and the handover date

Send the contractor the unit address, floor, approximate area and the date you need to return the premises. Include the building's permitted working hours, goods-lift booking arrangements, loading access and any protection or waste-removal instructions supplied by management.

Ask for the proposed sequence of dismantling, repairs, repainting, clearing and inspection. Distinguish the work-completion date from the landlord inspection and final key-return date. Agree how any items raised at inspection will be handled; do not treat a quoted construction duration as automatic landlord acceptance.

4. Compare written scopes, not just totals

Give each contractor the same floor plan, photographs and handover checklist. Compare which removals, repairs, finishes, disposal and cleaning are included. If one quotation is lower, check whether it excludes work that appears in the other quotation before treating it as a like-for-like saving.

Ask each contractor to identify assumptions, exclusions and work that still needs a site check. Confirm how a change to the agreed scope will be priced and approved. Floor area matters, but access restrictions, the existing fit-out and the required final condition can also change the quotation. 5. Keep the move-in and move-out work separate

If you are moving offices, the old unit's reinstatement and the new unit's renovation have different starting conditions and deadlines. Prepare separate layouts, work lists and building instructions for each address, even when using the same contractor.
