Renovating an office while the business operates: what to agree first

Do not assume the office can remain occupied simply because the work is called a refurbishment. Ask the building and project team whether continued operation is appropriate, which areas must be vacated and how the business will function during each work stage.

Decide whether to phase, relocate or pause occupation

Start with the planned work, not a promise of “no disruption”. List the rooms involved, the business activities that must continue and the equipment or services they depend on. Ask the responsible project professionals to assess the work arrangement before staff continue using adjacent areas. This guide is a planning checklist, not a safety plan or approval to occupy a work site.

Business continuity decisions before works start
DecisionWhat to askRecord the responsible person
Staff work areasWhich areas must be vacated, and where will staff work instead?
Customer and visitor accessCan meetings or visits continue; which routes and rooms remain available?
IT and communicationsWhich systems may be affected and who controls any shutdown or change?
Deliveries and work accessHow are staff, contractors and deliveries separated or coordinated?
Stage handoverWho checks an area before it is released for the next use?
ContingencyWhat triggers relocation or a pause in business occupation?

Get the actual working-hour rules

Ask the landlord or managing agent for the building’s permitted work hours, noisy-work restrictions, access procedures and lift or loading bookings. Then ask the contractor whether the proposed arrangement is available and how it affects scope and pricing. Do not assume “after office hours” means weekends are allowed.

For JTC premises, its published guidance restricts noisy or disruptive works to after working hours and requires prior approval for weekend or public-holiday works. That is a JTC-specific example, not a rule or work schedule promised for every Singapore office.

Put service interruptions under a named owner

Your business should identify the people responsible for IT, access control, telephones and other operational systems. Ask the relevant specialists what assessments, backups, shutdown arrangements or tests are needed. Record who may authorise a change and how staff will be notified; do not expect a general renovation quotation to include an unstated IT migration.

Draw the work phases on a plan and put a review point between them. If a change to partitions or room use affects services or clearances, have the responsible consultant confirm what is required before proceeding. SCDF publishes a specific Minor A&A lodgement route; calling the job “minor” does not establish that it qualifies.

Check approval responsibilities

Agree protection, cleaning and release checks

Ask what protection and cleaning are included, which areas are restricted and who checks the completed stage. Record how unfinished items will be isolated or resolved and who signs off the next stage. A clean-looking room does not itself establish that all required checks are complete.

If the programme relies on staff returning to a room at a particular time, make that dependency explicit before accepting it. Ask what happens if an inspection, material or preceding work is delayed. Keep alternative working arrangements under the business’s control rather than assuming the contractor guarantees uninterrupted operation.

Discuss the scope with Omni Contractors

Omni Contractors publishes office renovation and commercial fit-out services, including partitions, ceilings, floor preparation and finishes. Send the unit address, floor plan, photographs, proposed rooms and target move-in date. Identify the items you want to retain and any scope that still needs a site check; agree inclusions, exclusions and responsibilities in writing.

FAQ

Office renovation planning questions

Question not listed? Ask us on WhatsApp

Can staff stay in the office during renovation?

That depends on the works, the unit, building rules and the assessed arrangements. Ask the responsible building and project team which areas must be vacated and what is needed before any occupied phase is agreed.

Does Omni promise night or weekend office renovation?

No such schedule is promised by this guide. Ask Omni about availability for your proposed works, then confirm the building’s permitted hours, access and any required approvals.

Does the renovation quotation include moving IT systems?

Only if the agreed scope says so. Identify IT and other specialist work separately, name the responsible provider and confirm shutdown, testing and handover requirements.
