Flooring during reinstatement work

Office flooring renovation: retain, overlay or remove the existing floor

The existing floor is one of the first things to decide in an office renovation because it affects the partitions, the doors and the programme. This guide helps you assess the condition, check the ownership and choose between retaining, overlaying or removing before you ask for a quotation.

Three options and what each means for the project

Use these options to discuss the proposed scope with the contractor and flooring supplier. A photograph or a product name is not enough to approve an overlay: suitability depends on the actual substrate, proposed system and required assessment.

Flooring options comparison
OptionWhat it involvesWhen it suitsWhat to check first
RetainKeep the existing floor as it is, cleaning or repairing onlyFloor is in acceptable condition and the landlord allows it; no level or finish change neededCondition, ownership (landlord or tenant installed), lease requirements
OverlayInstall a new finish on top of the existing floorAn option to assess with the flooring installer and manufacturer; do not assume an existing finish is suitable to coverSpecified-system preparation requirements, substrate condition, moisture/adhesion checks where required, finished levels, doors and partition details
Remove and replaceStrip the existing floor finish down to the substrate and install a new oneWhere the assessed condition, proposed work or written landlord requirements call for removalWhat is underneath (screed, concrete, services), disposal route, programme time, partition and door sequence

Condition and decision worksheet

Walk the office and fill one row per area. Photograph each area, including close-ups of damage, joints and edges. The contractor needs this to quote accurately.

Interfaces with other trades

The floor decision affects the partitions, the doors and the services underneath.

  • Partitions: agree the wall base, fixings and flooring sequence with the relevant providers. Do not assume every partition sits on the final floor finish.
  • Doors: confirm the proposed finished floor level and applicable door requirements before agreeing an overlay.
  • Existing services: ask the providers to identify services and access needs before floor removal or preparation.
  • Levels and transitions: ask the flooring installer and the responsible designer or professional how adjoining areas and access will be dealt with. Do not improvise a ramp or threshold detail from this guide.
  • Disposal: confirm responsibility, building access and the appropriate handling and removal arrangements for the actual materials.

Ownership and lease requirements

Check who installed the existing floor. If the landlord installed it, you may not be allowed to remove it without permission, and you may be required to restore it at lease end. If you installed it, the lease may require you to remove it when you leave. Read the reinstatement clause guide for what the lease language means, and confirm the position with the landlord in writing before committing to a floor scope.

Send the decision to Omni Contractors

Omni Contractors provides cement screed flooring and floor preparation for office renovations. Send the completed worksheet, photographs, the floor plan and the landlord's position on the existing floor. Say whether the floor scope is part of a wider renovation or a standalone job. No flooring material prices or substrate compatibility guarantees are published in this guide.

Sources and limits

Interface’s manufacturer guidance explains that installation methods and preparation depend on the flooring product and system. It is a reference for asking the right questions, not evidence that a particular product can cover your existing floor or that Omni supplies that brand. Ask for the current instructions applicable to the actual product and site. This worksheet is an original scope-planning tool.

FAQ

Office flooring decision questions

Question not listed? Ask us on WhatsApp

Can I overlay carpet tiles on existing vinyl?

That depends on the condition and adhesion of the existing vinyl, the flatness of the substrate and the overlay product. Ask the flooring supplier and the contractor to assess; do not assume compatibility from the product name alone.

Does the landlord have to approve a floor change?

Check your lease. If the landlord installed the floor, you may need written permission to change it. If you installed it, the lease may require removal at the end. Confirm before committing.

How does removing the floor affect the programme?

Removal can add strip-out, handling, preparation and inspection tasks, but the programme depends on the chosen system and the actual condition. Ask the contractor and flooring installer to state the dependencies and sequence rather than using a generic duration.

What happens to the removed flooring material?

Removed material is waste. Confirm the classification and disposal route with the contractor and the building management. Certain materials may need specific handling.
