Office renovation scope changes: a variation record and decision checklist
A new meeting-room wall, different finish or changed removal scope can affect more than one quotation line. Before deciding on an office renovation change, record what was agreed originally, what is proposed now and which cost, timing and approval questions need a written response.
Identify what is changing before comparing a new total
A change record should identify the accepted drawing or work item and describe the requested difference. “Revise meeting room” leaves too much open. State which wall, opening, finish or item is to change, where it is located and which revision or annotated photo explains the request.
A request, a priced proposal and a confirmed instruction are different records. Identify who can make the decision for your business and how the contractor will confirm it. This guide is a planning worksheet, not a statement of Omni’s contract terms or a rule that every change has the same authorisation process.
Compare the original renovation quotation
Check the effects beyond the item itself
Ask for effects on related work rather than assuming a small visible change is a small overall change. A revised partition position can raise questions about doors, ceiling interfaces, existing finishes and services handled by other providers. The responsible people should identify which effects apply to the actual unit.
The examples below are prompts to discuss. They do not establish that Omni supplies every related trade or that every change requires the same approval route. Keep excluded work and separate suppliers visible in the response.
| Proposed change | Related questions | Written response to request | Decision owner |
|---|---|---|---|
| Move or add a partition | Does this change doors, finishes, services, circulation or the agreed layout? | Revised plan, specification and scope boundaries | |
| Change a floor or wall finish | What preparation, removal, material or finishing work changes? | Revised finish and preparation item; retained-work protection | |
| Add removal of existing fixtures | What is included in removal, disposal and making good? | Itemised removal and restoration scope; exclusions | |
| Retain something previously marked for removal | Is it suitable for the proposed layout and who checks its condition? | Retained-item reference and any work still needed | |
| Change work access or move-in date | Does the revised arrangement affect sequencing, deliveries or other suppliers? | Revised dependencies and dates to confirm |
Record price and programme effects separately
Ask for additions and omissions to be identified, including which original item is being replaced or credited. Ask whether the response includes the full related scope, applicable charges and any excluded work. Enter figures only from the actual proposal; this template contains no renovation rate or Omni fee policy.
Ask what happens to work already completed or materials already ordered and who will confirm the effect. A change with no quoted price increase can still affect timing, access or another provider. Record “not yet confirmed” where a cost or date is missing rather than entering zero or treating silence as agreement.

Check whether the layout change affects an earlier clearance
Tell the responsible consultant and building manager when the proposal differs from the layout or scope they previously considered. Ask which consent or submission needs revisiting and who is to check it before the changed work proceeds. An internal decision about cost does not establish an authority approval.
BCA’s structural-plan guidance distinguishes material changes requiring approval from immaterial changes recorded in later plans. That guidance concerns structural works; it is not a rule that an ordinary non-structural office change needs a structural submission. Ask the appointed Qualified Person about the actual works. JTC separately publishes consent and fitting-out requirements for its own premises.
BCA: structural-plan submissions and changes
JTC: fitting-out and renovation works
Separate the building and authority questions
Keep one current scope and a traceable change register
After a decision, label the record and relevant drawing revision so the office team, contractor and separately appointed suppliers are referring to the same version. Keep older versions identifiable as superseded rather than allowing an old plan to look current. Confirm how the accepted change will appear in the project’s work list and final account records.
For example, if a meeting-room opening is to move, record its original reference, the revised location and the response on door work, surfaces and any affected services. Confirm the price and programme response and the person authorised to decide. This is an illustrative example, not an Omni project or a claim about the cost of moving an opening.
- Describe the requested difference against the current scope.
- Obtain the relevant scope, price, timing and clearance responses.
- Record the decision using the process agreed for the project.
- Identify the current revision for the people doing affected work.
- At handover, compare against the latest agreed work and keep unresolved items separate.

Reduce avoidable changes in the first office brief
Before requesting a quotation from Omni Contractors, send the floor plan, photographs, required rooms, items to retain or remove, building requirements and target date. Separate must-have work from options that have not been decided. Use the same brief when comparing quotations so a later layout decision is not mistaken for a missing original item.
Omni publishes office renovation and commercial fit-out, partitions, ceilings, flooring and finishes. Ask it to confirm the actual work and responsibilities for your office. Any price, payment stage, variation procedure or warranty must come from the project’s written agreement and proposal.

Sources and scope of this worksheet
Prepared on 17 October 2026. The change questions and blank decision record are original planning tools. The BCA reference supports the scoped distinction about structural changes; the JTC reference applies to JTC premises. This guide does not decide contractual rights, quote an Omni change fee or promise that a proposed revision will be accepted.
What should an office renovation variation record contain?
Identify the original scope or drawing, proposed change and marked attachment, additions or omissions, price and timing responses, affected-provider and clearance questions, and the authorised decision with its date.
Does a small layout change automatically have no extra cost?
No figure should be assumed. Ask for the actual additions, omissions, related work, exclusions and programme effect to be stated. Mark missing responses as unconfirmed rather than entering zero.
Does approving a variation price also approve the changed office layout?
A commercial decision does not establish a building or authority approval. Ask the responsible consultant and building manager whether the actual change affects an earlier consent or submission.
Does this guide state Omni’s variation charges or payment terms?
No. Confirm the applicable process, charges and payment terms in the written agreement and the actual change proposal for your project.
