Debris bagged for disposal in a mall unit

Office furniture disposal worksheet for your quotation request

A disposal quotation is only as accurate as the list behind it. Fill in the tables below, take the photos, and send everything together so the contractor prices the same job you are describing.

What this worksheet is for

This is a working document, not a description of the service. Print the page or copy the tables into a spreadsheet and fill them in before you ask for a price. For what Omni Contractors says it can remove, read the furniture disposal and disposal services pages.

If you are clearing an office because a lease is ending, the furniture list is only one part of the handover. The landlord may also ask for partitions, ceilings or floor finishes to be dealt with. Use the office reinstatement checklist for that, and the reinstatement clause guide to find out what your lease actually requires. Office reinstatement is a separate scope from carrying loose furniture out.

Work through the seven steps in order. Write 'not sure' rather than guessing. An honest 'not sure' tells the contractor what to check on site.

Step 1: Count loose furniture by type

Walk the unit room by room, then total by type. In the handling column use plain words: 'one person', 'two or more people' or 'not sure'. Do not guess weights in kilograms unless you have weighed the item. Measure the largest piece of each type in centimetres (width x depth x height) and note anything that will not fit through a standard doorway.

Omni's furniture page lists sofas, chairs, desks, bookshelves, office furniture and selected electrical appliances, and says the list is not limited to those items. For appliances it asks you to state the type and condition so it can confirm whether it can accept them. It also says it cannot accept certain hazardous or restricted materials, so send the complete list and let the team confirm what it can take rather than assuming.

Step 2: List fixed and built-in items separately

Anything fixed to a wall, floor or ceiling is not loose furniture. Built-in cabinets, pantry carpentry, fixed counters, mounted shelving and partitions belong in a removal scope, and whether they have to go at all may depend on your lease. Omni's disposal page says its team can dismantle items such as cabinets, wardrobes, office furniture, retail fittings and built-in fixtures before disposal, and its hacking page describes fixture dismantling. Record fixed items in their own table so a quotation can show which is which.

If a fixed item has to be taken down, ask for it to appear as a separate line in the quotation. The guide on hacking, dismantling and demolition explains how those words are used, and the hacking and demolition pages describe what Omni says it covers.

Step 3: Mark what stays, what is not yours and what moves with you

Not everything in the unit is yours to dispose of. Landlord-provided fittings, leased equipment and items moving to your new office must be kept off the disposal list, or marked clearly, before anyone is booked. Where the lease or the landlord's inventory is unclear, ask for the answer in writing.

Mark each retained item on site with removable tape or a label, and photograph it with the label visible. A name on a list does not stop the wrong piece being taken if nothing on the item says it stays. In your request, say that anything marked is not to be removed.

What a reinstatement clause in a lease requires

Step 4: Record how the furniture gets out of the building

Omni's pages list lift availability, staircases, loading bays, parking distance and building management rules among the things that affect a disposal job. Collect the answers from building management rather than from memory. A lift or loading bay that you can use as a tenant may not be available for removals, or at the hours you want.

Do not copy answers from a previous tenant or another building, because rules differ and change. If management has sent a written move-out or fit-out guideline, attach it to your request. The commercial renovation approvals guide explains how to separate landlord decisions from building-management arrangements.

Step 5: Take photos that answer the contractor's questions

Omni asks for photos of the items, approximate sizes, the address and any access or dismantling details. Photos let the team judge volume and handling before anyone visits, and for larger jobs Omni says it may arrange a site survey. Take the photos below in one pass and keep them with the worksheet.

  1. Stand at the door of each room and take one wide photo that shows all the furniture in it.
  2. Photograph each large item on its own, with a tape measure or a colleague's hand beside it for scale.
  3. If you are unsure whether a desk, cabinet or counter is fixed, photograph its back, base and any visible screws or brackets.
  4. Photograph the route out: corridor, lift lobby, lift door and inside of the lift, loading bay, and any steps or ramps.
  5. Photograph every retained item with its tape or label visible.
  6. Photograph rooms you cannot open, such as locked rooms, from outside, and say in your request that they could not be inspected.
  7. Name the files by room, for example 'Meeting room 2 wide', so each photo can be matched to a row in your tables.
  8. Clear desks and screens of documents and personal information before you photograph, and avoid including staff.

Step 6: Deal with IT equipment and confidential material yourself

Omni's furniture page says that if an item contains personal or confidential information you should arrange verified data erasure before handing it over, and to ask how any electronic items will be handled rather than assuming furniture collection includes data erasure. Omni's published pages do not say that it erases data or shreds documents. Treat the table below as your own job unless Omni confirms in writing that it covers a particular item.

PDPC’s disposal guidance explains why ordinary deletion may be insufficient and responsibility remains when disposal is outsourced. Agree secure handling with your IT provider or specialist and retain a record. This worksheet does not offer data-erasure or document-destruction services.

Step 7: Write the quotation request

Send the filled tables and the photos together. Say what you want done with each group: collected and disposed of, dismantled first, or left in place. State the date the space must be clear and the reason for it. If the reason is a lease deadline, say so, but do not treat a collection date as the landlord's handover date. Ask whether cleaning up after removal is included, and ask who will take the items away and where they go. NEA licenses general waste collectors and publishes a list of them, so you can ask which licence or arrangement covers the collection.

Furniture disposal worksheet questions

Question not listed? Ask us on WhatsApp

What should I send for an office furniture disposal quotation in Singapore?

Send the address and floor, the date the space must be clear, counts by item type with the size of the largest pieces, which items need dismantling, what must stay, lift and loading access, the hours removal is allowed, and photos named by room. Omni's own pages ask for photos, approximate sizes, the address and any access or dismantling details.

Do I need to count every chair and desk before asking for a quote?

Count by type and give exact numbers where you can. Write 'approximately' or 'not sure' where you cannot, rather than guessing. Omni says that photos and item details may be enough for a smaller job and that it may arrange a site survey for a larger one, so the contractor can confirm the remainder.

Is office furniture disposal the same as office reinstatement?

No. Disposal removes the items you no longer want. Reinstatement is about returning the unit to the condition the lease requires, which may also involve partitions, ceilings, floor finishes and making good. Check your lease and the landlord's written requirements to see which applies, and ask for the scopes to be quoted separately.

Who deals with data on old computers and paper files?

You do, unless Omni confirms in writing that it covers a particular item. Omni's furniture page tells customers to arrange verified data erasure before handing over any item that holds personal or confidential information. The PDPC's guidance notes that organisations stay accountable for personal data even when disposal is outsourced.

What access details matter most?

Which lift can be used and whether it must be booked, lift door and car size, the loading bay and its limits, any stairs, the distance from the unit to the loading point, permitted removal hours and any protection of common areas. Confirm these with building management in writing rather than relying on memory.

What if some items belong to the landlord or a leasing company?

Keep them off the disposal list and mark them on site with tape or a label. Record the owner and the evidence, such as the lease, the landlord's inventory or the rental agreement. If ownership is unclear, ask the landlord or lessor to confirm before any item is removed.
